Contractor and vendor check-in: a simple process

Contractors, suppliers and delivery staff come and go all week, often without an appointment. A short, consistent check-in gives you a record of who was on site and who approved them.

What to record for every contractor or vendor

  • Name, mobile number and company.
  • Who invited or approved them, and the purpose of the visit.
  • Time in and time out.
  • Vehicle number or ID details if your site requires them.
  • Any induction or safety acknowledgement your site needs. CheqIn does not collect signed forms today.

A four-step process

  1. Pre-register expected contractors with a QR pass, with the entrance and parking details.
  2. Let unplanned vendors scan the reception QR and pick who they are visiting.
  3. Have the host approve before the visitor goes further.
  4. Record the exit, so you know who is still on site.

Visitor check-in or contractor management?

"Contractor management software" usually means a heavier product that tracks qualifications, insurance, permits and safety training. If you only need to know who came, whom they met and when, a visitor management system is simpler and much cheaper. If you need to verify certificates or permits before work starts, you need a dedicated contractor management tool, and can still use CheqIn for the daily check-in.

Try it free: create a reception QR, or see how it fits a factory or warehouse.
