What is a visitor management system?

A visitor management system (VMS) is software that registers, tracks and reports on everyone who enters your premises but is not a regular employee: clients, contractors, couriers, interview candidates and other guests.

How guest check-in works

In a modern visitor management system, a host pre-registers a guest with their name, mobile number and visit time. The guest receives an invitation with a QR code by email or WhatsApp. On arrival they show or scan the code at the lobby, the host is notified and approves the visit, and the system records the arrival time. When the guest leaves, the visit is closed out. Guests without an invitation can check themselves in by scanning the reception QR code.

Why replace the paper visitor register

  • A paper log is slow to fill in, often illegible and impossible to search later.
  • Anyone in the lobby can read the names of previous visitors, which is a privacy problem.
  • Reception has to call or message the host by hand, and guests wait while they do.
  • After an incident or an audit, reconstructing who was on site and when takes hours.

Types of visitor management systems

  • Paper registers. Cheap and familiar, but with none of the benefits above.
  • On-premise software. Installed on a desktop at reception. Works offline, but needs maintenance and is tied to one machine.
  • Cloud kiosk systems. A tablet at the front desk runs the sign-in flow. Familiar to guests, but needs hardware and someone to look after it.
  • Mobile and QR-code systems. Guests use their own phone with a QR code. There is nothing to buy or maintain at the desk, and the invitation can arrive on WhatsApp or email. This is the approach CheqIn takes.

Features to look for

  • Pre-registration and QR code invitations
  • Contactless check-in for invited guests and walk-ins
  • Instant host notification and approval, ideally on the channel your team already uses
  • A searchable, timestamped visitor log you can export
  • Directions and parking instructions sent with the invitation
  • Optional extras for larger sites: badge printing, ID scanning, watchlists, door and turnstile integration

How much does a visitor management system cost?

Basic cloud plans typically run from a few tens of dollars per month per location. Enterprise systems with kiosks, badge printers and access-control integrations are usually quoted case by case. Some tools have a free tier: CheqIn is free for up to 50 visitor entries a month, with a flat yearly price for unlimited visitors. See current pricing.

How to choose

  • Count your visitors. Low volumes may be covered by a free plan.
  • Decide whether you want to buy and maintain front-desk hardware.
  • Check how invitations and host notifications are delivered, since WhatsApp is the default channel in many countries.
  • Ask about export, retention and privacy so you can answer an audit question quickly.
  • Compare the options side by side, for example CheqIn vs Envoy.
